The Purchasing & Sales Coordinator will work directly with the Head Brewer, Director of Brewery Operations, and Director of Sales on a wide range of tasks. On the purchasing end, the position will be responsible for coordinating directly with vendors to ensure inventory levels are well stocked and that invoices are getting to our accountant for payment. Purchasing will include, but is not limited to, all raw materials, gases, chemicals, packaging products (cans, lids, boxes, etc), and can labels. Thorough communication with our Inventory Manager will be required to make sure our inventory software is accurate and reflective of what’s in stock and what is needed. On the sales end, the position will be a direct point of contact with accounts and customers who purchase our beer for wholesale delivery. A high degree of customer service and attentiveness is required, and the sales coordinator will be responsible for accurately inputting account orders into our system and generating invoices and packaging slips. Further dialogue and follow up will be required with our delivery drivers to make sure the correct orders are going out. The biggest challenge is often lack of product availability in our system, so frequent communication will be required between the Inventory Manager & Director of Sales to ensure we have enough product to correspond with customer orders.

Everyday Tasks

  • Email / Phone / Personal correspondence with wholesale accounts.

  • Email / Phone / Personal correspondence with vendor accounts.

  • Navigating and utilizing Orchestrated Beer software, as well as excel, word and Google Drive.

  • Meet w/ Head Brewer weekly to determine ordering needs for the production schedule.

  • Meet w/ Director of Brewing to add new vendors and products, integrate these into our system.

  • Work w/ Director of Brewing & Blind Tiger Design team to receive can artwork and ensure can labels are ordered and received in advance of packaging dates.

  • Work w/ Director of Sales to add new customers, as well as ensure high levels of customer service and accuracy for wholesale beer orders.

  • Work w/ Accountant to ensure inventory of goods and products is accurate at the end of each month for bookkeeping purposes.

  • Coordinate deliveries with drivers – ensure invoices match the manifest and accounts are receiving what they’ve ordered.

  • Create invoices and packing slips through system software; act as liaison with sales accounts and the brewery to ensure timely payment and great rapport.  

  • Monitor sales accounts to ensure the Company is being paid within Net 30 terms, working with Accounts Receivable to follow up on late payments and delinquencies.

  • Monitoring sales accounts to ensure beers are being tapped in a timely manner and pricing of packaged beer doesn’t exceed a 35 – 40% markup.

    The purchasing & sales coordinator will be expected to work 45 hours per week at a minimum. A typical schedule would include working Monday – Friday. Working from home is acceptable part time, as a lot of email and phone correspondence is required between the vendors and sales accounts.
    During the first several weeks, we will provide training and a full contact list of all vendors and sales accounts, introduce the people behind these companies, and allow for a smooth transition with plenty of support from the Head Brewer & Director of Brewing. Ordering guides will also be given, as well as full product lists and a comprehensive training and introduction to Orchestrated Software, which will run our sales, inventory and brewery operations.
